Privacy Policy

This Privacy Policy explains how Provoon (“Provoon,” “we,” “us,” or “our”) collects, uses, and shares information when you use our websites, apps, and related services (together, the “Services”), including when your customers submit testimonials through pages you create with Provoon.

1. Who this covers

Account holders (businesses and individuals who create a Provoon workspace). Visitors to our marketing site. End customers who submit a testimonial, review, or media through a collection page, embed, or related flow you operate. If you use Provoon to collect stories from other people, you are responsible for providing them any notices required by law and for obtaining any consent needed to publish or reuse their content.

2. Information we collect

Account and profile

Name, email, password (stored by our auth provider in hashed form), profile photo, workspace name, username, website URL, and similar account settings you provide.

Billing

Plan, subscription status, and limited billing identifiers returned by our payment processor (for example customer or subscription IDs). Full card details are handled by the processor—not stored on Provoon servers.

Customer content you and your submitters provide

Testimonials and related media (text, video, audio, images), names, roles, optional company fields, ratings, tags, transcripts, exports, embeds, brand pages, walls, logos, avatars, and any custom fields you configure on collection pages. We process this content to operate the Services for you.

Usage and device data

Log data, IP address, browser type, approximate location derived from IP, pages viewed, referrers, and product analytics needed to secure, debug, and improve the Services. Cookies or similar technologies may be used for session, preferences, and performance.

Integrations

If you connect Google sign-in, email delivery, custom domains, storage, or other integrations, we receive the data those providers send to complete the connection.

3. How we use information

  • Provide, host, secure, and improve the Services
  • Authenticate users, prevent abuse, and enforce our Terms
  • Process payments and manage subscriptions
  • Send transactional email (invites, security, billing, product notices)
  • Optional product tips or marketing email where allowed—you can opt out of marketing
  • Generate features you enable (for example ranking, transcription, Brand Monitor)
  • Comply with law and respond to lawful requests

4. How we share information

We do not sell personal information. We share information with:

  • Service providers that help us run the product (hosting, databases, authentication, email, media storage, payments, analytics, error monitoring)—under contracts that limit their use of the data
  • Your publish destinations when you embed or share content (your site, Notion, social exports, etc.)
  • Professional advisors or authorities when required by law or to protect rights, safety, and the Services
  • A buyer if we are involved in a merger, acquisition, or asset sale, subject to appropriate confidentiality

Content you publish publicly (for example a Wall of Love or brand page) can be viewed by anyone with the link or embed.

5. Roles: controller and processor

For your account and billing data, Provoon generally acts as an independent controller. For testimonials and related personal data your end customers submit into your workspace, you are typically the controller and Provoon acts as a processor (or equivalent under applicable law), processing that data on your instructions to provide the Services. You must have a lawful basis to collect and use that content—including consent where required for marketing reuse.

6. International transfers

We may process data in countries other than where you live. Where required, we use appropriate safeguards (such as standard contractual clauses or vendor terms) for cross-border transfers.

7. Retention

We keep account and content data while your account is active and as needed to provide the Services, resolve disputes, enforce agreements, and meet legal retention duties. If you delete content or schedule account deletion, we remove or de-identify data within a reasonable period, except where we must retain it (for example backups for a limited time, fraud prevention, or legal holds).

8. Security

We use administrative, technical, and organizational measures appropriate to the nature of the Services. No method of transmission or storage is completely secure; you are responsible for protecting account credentials and for configuring public embeds carefully.

9. Your rights

Depending on where you live, you may have rights to access, correct, delete, export, or restrict certain personal data, or to object to certain processing, and to lodge a complaint with a supervisory authority. Account holders can update many details in product settings. End customers should contact the business that collected their testimonial first; we will assist that business as required. To exercise rights with us directly, email privacy@provoon.com. We may need to verify your request.

10. Children

The Services are not directed to children under 16 (or the minimum age required in your region). We do not knowingly collect personal information from children. If you believe a child provided data, contact us and we will take appropriate steps.

11. Do Not Track / cookies

Some browsers send Do Not Track signals. There is no uniform standard for responding; we treat visitors according to this Policy. You can control cookies through your browser settings; disabling some cookies may affect login or core features.

12. Region-specific notices

If you are in the EEA/UK, our legal bases include contract, legitimate interests (secure and improve the Services, prevent abuse), consent where required, and legal obligation. If you are a California resident, you may have rights under the CCPA/CPRA regarding access, deletion, and certain sharing; we do not “sell” or “share” personal information for cross-context behavioral advertising as those terms are commonly defined. 13. Changes

We may update this Policy from time to time. We will post the revised version with a new “Last updated” date. Material changes may also be communicated by email or in-product notice. Continued use after the effective date means you accept the updated Policy.
